A Guide for Parents

Whenever any activity or event is run within Scouting it is a requirement that an InTouch system is in place (POR 9.3). This is to ensure; everyone involved is aware of how communication will take place between Leaders, participants and those not on the event, there are details of who is present should anything go wrong, and there is a system in place in the event of an emergency. In this document Scouts refers to Scouts, Cub Scouts and Beaver Scouts.

1. How will Leaders communicate with parents?

Regular Meetings Events
  • Contact to an individual parent will be done by a responsible leader on the sectional mobile.
  • In the rare event contact of all parents is required the exercise will be split between all present leaders and any available leaders at home
  • Parents will be advised that they will only be communicated with if a child needs to be taken home before the end of the meeting.
  • Contact to an individual parent will be done by a responsible leader on the sectional mobile. If parent cannot be reached this will be delegated to the Home Contact.
  • Contact of all parents will be done by the Home Contact.
  • Parents will be advised that they will only be communicated with in case of emergency, medical advice or a change to the scheduled end of the event.

2. How will parents communicate with Leaders?

Regular Meetings Events
  • Parents will have the number for the sectional mobile.
  • Parents should only contact the meeting via the sectional mobile if they have an emergency which means the child cannot be picked up at the normal time.
  • Parents will have the number for the sectional mobile and the Home Contact. At the discretion of leaders additional mobile numbers may be given or a site office number if available.
  • Parents should only contact the sectional/leaders mobiles in the case of emergency /serious family incident.
  • If they cannot reach a leader they should contact the Home Contact who will relay any messages on their behalf.
  • Any other messages should be sent via the Home Contact.

3. How will participants and parents communicate?

Regular Meetings Events
  • There should be no requirement for parents to communicate directly with their child.
  • Mobile phones should not be brought to meetings
  • There should be no requirement for parents to communicate directly with their child.
  • In the rare event that a parent and child do need to speak this will be under the supervision of a responsible leader and will be via the sectional mobile.
  • Mobile phones should not be brought to any adult led events.

4. Communication between Leaders and Parents/Participants outside meetings or events

All normal regular communication will take place using the following methods.

Mobile phones

The possession and use of mobile phones by Scouts at meetings and events is strongly discouraged and 1st Henllys will accept no responsibility for loss or damage to any mobiles brought to a meeting or event against the Group's advice. Parents are responsible for ensuring their children are not bringing mobile phones to regular meetings and adult led events.

In the event that older Scouts are leading an activity without leaders it may be appropriate for them to carry mobile phones. However the Group suggests that they avoid using expensive models and also consider making use of use public pay phones or ask to use a phone in a suitable venue.
